Event Staff for Weddings in Austin: What Help Do You Actually Need?

Planning a wedding involves a lot more than choosing a venue, caterer, and photographer. One detail couples sometimes overlook is who will handle all the work happening behind the scenes during the reception.

Who clears the tables? Who keeps the trash from overflowing? Who helps maintain the buffet or dessert area? And when the celebration ends, who helps pack everything up and get the venue back in order?

That’s where professional wedding event staff in Austin can make a major difference.

What Does Wedding Event Staff Do?

Every wedding is different, so the type of help you need depends on your venue, caterer, planner, guest count, and what each vendor is responsible for.

At Vow to Clean, our event staff can provide support throughout different stages of your wedding, including:

During-event support: bussing and clearing tables, water refills, buffet or dessert-table assistance, trash upkeep, resets, and general support for your planner or catering team.

Post-event cleanup: clearing tables, collecting trash and debris, staging dishware, sweeping, mopping or spot vacuuming, tidying designated areas, and helping return the venue to its expected condition.

Breakdown assistance: packing décor, centerpieces and signage, breaking down food or dessert stations, staging rentals for pickup, and assisting with tables and chairs when permitted by the venue.
You may need only one of these services—or a combination of all three.

Do I Need Event Staff If I Already Have a Caterer?

Possibly.

One of the biggest mistakes couples can make is assuming another vendor will automatically handle a task.

Some caterers provide full-service staff, while others are primarily responsible for preparing and serving food. Your wedding planner may coordinate the event but may not be responsible for bussing tables or taking out trash. Likewise, your venue may expect everything to be cleaned and removed by a certain time without providing the staff to do it.

Before your wedding, ask each vendor exactly what they will and will not handle.

If there are gaps, dedicated wedding event staff can fill them.

How Many Wedding Staff Members Do You Need?

Guest count is a good starting point, but it isn’t the only factor.

At Vow to Clean, we generally use approximately one staff member for every 30 guests as a starting guideline. A 120-guest wedding, for example, may benefit from around four staff members.

However, staffing needs can increase depending on the amount of bussing, serving, trash upkeep, venue size, breakdown requirements and how quickly everything must be completed.

A smaller wedding with a complicated breakdown may require more help than a larger wedding with very little cleanup.

Don’t Forget About the End of the Night

The final hour of a wedding can be one of the busiest.

Guests are leaving, vendors are packing up, rentals need to be organized, decorations need to be collected, trash needs to be removed, and the venue may have a firm deadline for everyone to be out.

This is why we generally don’t recommend relying on only one hour for a full venue cleanup and reset. In many situations, 1.5 to 2 hours or more provides a much more realistic window, especially when other vendors are still breaking down their equipment.

Having a dedicated breakdown and cleanup crew allows your family, wedding party and guests to enjoy the end of the celebration instead of immediately going to work.
